Senior Executive Assistant







Our client, a boutique investment consulting firm located downtown Toronto, is seeking an Executive Assistant / Office Manager to support the senior executive managers in a fast-paced, entrepreneurial environment. This is a newly created position open due to growth and success.

The ideal candidate is an independent worker/thinker, proactive and confident in their approach in managing the day-to-day activities. We are looking for someone can make good judgments and manage unpredictable situations. The candidate must be well organized, efficient, resourceful, and have an adaptable and positive service attitude. Candidate should be highly flexible and can work independently with minimal supervision.


  • Act as gatekeeper for executive by screening and prioritizing meeting requests, telephone calls, emails, and correspondence.
  • Manage executive's calendar, schedule appointments, and ensure executive is on time.
  • Create individual itineraries and schedule domestic/international travel including flights, hotel accommodation, car services, restaurant reservations and meetings.
  • Prepare all materials for executive in advance of meetings, presentations.
  • Perform clerical duties such as filing, typing, and copying documents.
  • Organize files and maintain contact database.
  • Act as custodian of corporate documents and records.
  • Maintain positive relationships and act as liaison between employees, clients, and partners.
  • Reconcile expenses.
  • Able to prioritize and anticipate the needs of the executive.
  • Daily office management.


  • Minimum of 7 years of experience as executive assistant or similar role in a professional services industry.
  • Excellent communication skills, both verbal and written.
  • Proficient with MS Office (Word, PowerPoint & Excel) and Outlook.
  • Excellent organizational and time management skills.
  • Strong ability to handle multiple tasks simultaneously, prioritize high volume workload and meet strict deadlines.
  • A high level of attention to detail, accuracy, and follow-up.
  • Demonstrate ability to take initiative to solve problems.
  • Demonstrated good judgment; ability to deal with confidential and sensitive issues.
  • Flexible; excited about supporting various unpredictable projects and schedules.
